Our client is an expanding medium sized interior design studio based in London. Our client is now looking to recruit an experienced Studio Manager to take responsibility for the day-to-day running of the office, the welfare of the staff and for supporting the Director.

Responsibilities will include:

Studio Management
– Day to day housekeeping, including dealing with faults, repairs and other small works – dealing with landlord if required
– Resource allocation / traffic management / working with the Creative Director taking responsibility for the allocation of resources within the studio, tracking project deliverables and keeping project plan updated
– Supervision of office cleaning, liaison with cleaning company as required
– Open all incoming post and distribute to team
– Deal with incoming telephone calls
– Meet and greet all visitors to the office
– Track levels of stationery and kitchen supplies – compile weekly list for ordering and stock required items daily
– Receive, open and put away all deliveries to the office
– Supervise staff for H&S matters – complete H&S at work first aid course if not already done so
– Work with team to produce company intranet to incorporate H&S policy, fire safety policy, and other info for induction and reference purposes
– Basic IT support – changing printer cartridges, dealing with faults – internet, email, iCal etc
– Assist in organisation of company events
– Work with PMs allocating resources to projects and tracking studio time through timesheets.
– Some knowledge of sales and purchase ledger accounts processes would be beneficial

General Office
– Filter telephone calls for the studio, referring to relevant members of the studio
– Attend client meetings as required, taking and distributing minutes
– Track Creative Directors expenses – collecting receipts and entering into expense forms
– Assist on generating new business presentations
– Respond to requests for press, attendance at events and other functions
– Organise Creative Directors travel
– Work with Operations Manager to track and manage budgets for office expenses
– Take responsibility for petty cash and issue of company debit card, ensuring all necessary receipts are obtained
– Manage Chapel meeting room, liaising with other building members

Personnel / HR responsibilities
– Assist Operations Manager with recruitment of personnel
– Manage staff holiday and sickness ensuring minimal impact to studio
– Assist Operations Manager on tracking and undertaking staff reviews
– Undertake induction process for all new employees
– Plan and organise training as required
– Complete and update Studio organisation chart, assisting with compiling job descriptions for each role

Project Support
– Work with FF&E team to ensure an organised and tidy sample library is always available
– Facilitate meetings with new suppliers to increase materials available for projects
– Collate price lists and documentation received from suppliers
– Work with project teams to ensure there is a full archive of completed projects including documentation and all signed off drawings, mood boards and samples.
– Assist with sourcing and procuring FF&E for active projects as required.
– With Operations Manager check and authorise issue of PO number for project purchases

Knowledge
– Knowledge of office administration
– Knowledge of IT support at basic level
– Knowledge of budgeting and basic accounts including Sage
