Our client is the retirement living division of one of the UK’s largest residential development, regeneration and property management businesses. They design, build, manage and maintain homes aimed at over 55’s communities. An opportunity now exists for a Document Controller to join their head office development team based in York.

This fantastic opportunity is a new role in a business with an ambitious growth strategy that will see up to 10 sites at any one time requiring governance and reporting on. Reporting to the Senior Development Manager, the successful candidate will be responsible for the implementation of the development, marketing and sales governance process which include the coordination and collation of all reporting along with supporting the development managers with the management of the Sharepoint platform.

The role will also require supporting the develop managers in the access to various external EDMS and online collaboration platforms that may be implemented by Main Contractors on individual developments. The Document Controller will also be responsible for the migration of all relevant information when the developments complete and are handed over to the operations team.

Role & Responsibilities

Day to day management of the SharePoint site, ensuring that all information for individual developments is up to date at all times.
Responsible for individual developments is up to date at all times.
Management of the Fund Monitor SharePoint platform and any other external sites, working closely with the Pre-Contract SDM to ensure prompt and accurate information is provided to allow all approvals to be given.
Responsible for the coordination and release of Monthly Progress reports to the Director of Development and Sales. The Project Coordinator will ensure that all reports are completed by the required date.
Manage and update the Briefing File that is maintained for the Director of Development and Sales through regular communication with the relevant team members.
Management of all internal governance documents, ensuring regular reviews and updates coordinated with the team.
Support the development managers in access to the various EDMS and online collaboration platforms which may be utilized by main contractors post contract on individual developments.
Responsible for the creation, management and revision of governance templates.
Supporting the development managers with the management and process of invoices ensuring all consultants are paid.

Skills & Experience Required

Experience of document control in the construction industry and the key documents used to deliver developments
An understanding of governance requirements
Experience of working and coordinating schemes on the SharePoint platform
A proven track record of coordinating schemes within a controls environment
Good data organization skills
